From enquiry to quote: lead scoring and automated follow-up for SMBs

Hardly any SMB loses customers because it gets too few enquiries

It loses them because it treats every enquiry the same way and answers when it can: the important request lands on Friday at 6pm, gets read on Monday, the quote goes out on Thursday, and by then the customer has already spoken to someone else. The problem is not the salesperson — it is that no system decides what deserves attention right now.

What lead scoring means, without jargon

It means giving every incoming request a score based on how likely it is to become work and how much it is worth. The score is built from information you already have: what the person wrote, which company they represent, which page they came from, the budget they indicated, whether they asked for a quote or general information, whether they are an existing customer. You do not need a complex algorithm — you need four or five criteria agreed with whoever sells.

Where AI genuinely adds something

A model reads the free text of the enquiry and catches what a form cannot: urgency, project type, whether the writer is the decision maker, whether the request is outside your target. Then it writes a three-line summary for the salesperson — who they are, what they want, what to answer — so nobody has to re-read the whole thread before calling. This is the point where salespeople stop seeing automation as a nuisance and start using it.

The flow I put into production, concretely.

  • A request arrives from a form, email or WhatsApp and is recorded in one place.
  • The system classifies it, assigns a score and routes it: high priority to sales with an immediate notification, medium priority into a daily queue, out-of-target gets a polite automatic reply.
  • An acknowledgement goes to the customer straight away, with realistic response times. That alone reduces the enquiries that "disappear".
  • If nobody has replied after 48 hours, the system alerts the manager. No request is left uncovered.
  • Follow-up after the quote is automatic and scheduled: a message after three days, one after ten, then stop.

Follow-up is where the money is recovered

In most companies the quote goes out and nobody returns to it, because other work arrives in the meantime. An automatic reminder the salesperson can approve with one tap, or a message drafted automatically and sent in their name, recovers deals that were simply forgotten. It is the least technological and most profitable part of the whole system.

What it takes and what it costs

You need the channels enquiries arrive on, somewhere to record them (a CRM or even a simple database) and half an hour with the sales side to define scoring criteria. An essential version starts at 1,200 €; a full system with AI qualification, routing and multichannel follow-up typically runs 2,500-5,000 €. Build time is usually two to four weeks.

How to measure it

Three numbers: average first response time, share of enquiries that receive a quote, share of quotes that receive at least one follow-up. When those three improve, revenue follows a month or two later.
